Planning your team session.
How long should we allow for the photography?
I normally allow 5–10 minutes per person, around 30 minutes to set up, and additional time to pack away afterwards. Using ten-minute appointments gives colleagues time to settle in and keeps the running order easy to follow. If you have a tighter window, tell me beforehand so we can agree what is realistic.
Can you photograph us at our office or company offsite?
Send me the venue, date and team size with your enquiry. I can assess travel and the available space, then recommend how the photography could fit around your day.
What sort of room or space is suitable?
A space of roughly 3 × 5 metres is ideal for the portrait setup. A smaller room may also work, depending on the layout and the look you want. Send a few photographs of the space and let me know which furniture must stay in place, so I can assess the options beforehand.
How should colleagues prepare and what should they wear?
Send the team a short reminder beforehand, including their appointment time and the agreed look. Choose comfortable, well-fitting clothes and check for creases. Simple fabrics usually keep attention on the face; any company colour preferences should be shared in advance. Normal make-up is generally appropriate. If someone wants a change of top or photographs with and without a jacket, mention it when planning the session so we can allow time.
Does a natural style mean an outdoor background?
It can, but it does not have to. A softly blurred setting provides context, while a simple studio background can also look relaxed and contemporary. Reference photographs and the venue will help us choose.
How many retouched images will each person receive?
I photograph a range of expressions and select 5–6 finished photographs per person, delivered through an online gallery for download. This gives each colleague a choice of images for different uses. The retouching scope and delivery arrangements are confirmed in your quote.
Can future new starters be photographed consistently?
Mention this in your brief so we can discuss a setup that can be repeated and what reference information to retain. Background, lighting, framing and editing all contribute to a consistent collection.
Can we use the images on LinkedIn, our website and in PR?
Tell me all the uses you need, including individual LinkedIn profiles, company pages, investor materials and PR. The permitted usage will be set out in the written quote so you can check it before booking.
What will the total quote include?
Your quote sets out the photography time, finished image allowance, retouching, agreed usage and any travel charges. Any additional executive portraits, group photographs or candid images are quoted according to the agreed brief.
What if we have a website launch deadline?
Include the date you need the finished photographs when you enquire. We can then discuss availability and agree delivery arrangements before you book.
